Job Description

Responsibilities

  • Report to the CEO, manage their calendar, schedule appointments, and provide support to 1-2 additional managers.
  • Manage and address the CEO’s emails directly or with assistance, including unsubscribing from junk and deleting unnecessary emails.
  • Managed as many emails as you can indirectly by forwarding emails to the appropriate employees or external consultants (e.g., Accounting Firms/Attorney/ Architects and other consultants / vendors) and track progress to ensure completion.
  • Oversee CEO’s delegated tasks, track deadlines using task management software, follow up for timely completion, and review and prepare reports as needed.
  • Assist with personal errands, organize company events, act as office manager or coordinator, and liaise with the IT company as the IT coordinator.

Qualifications

  • Experience with hiring tasks such as placing ads, screening candidates, conducting first interviews, and recommending candidates for the second interview.
  • Skilled in managing CEO’s emails from start to finish across multiple roles.
  • Proven project manager, capable of handling complex projects from start to finish, with a focus on efficient execution and high-quality results.
  • Experienced in tracking and managing CEO’s delegated tasks, ensuring quality outcomes and timely completion.
  • Stable job history with 7 years of administrative support experience in small companies.
  • Senior Executive Assistant experience with the Founder, CEO, or President.
  • Bachelor’s degree required.
  • Strong organizational and multitasking skills, with a keen attention to detail.
  • Excellent writing and communication skills.
  • Proficient in Microsoft Office (Outlook, Word, Excel).
  • Quick learner, self-motivated, and requires minimal supervision.
  • Able to manage 5-7 people, with experience as both an office manager and Executive Assistant.
  • Tech-savvy with knowledge of social media platforms.
  • Skilled in tracking and ensuring timely, efficient completion of CEO’s delegated tasks.
